When it Comes to Lists – by Mike Song

I recently skimmed a 200 page book on how to create effective to-do lists. For me, the “system” proposed was so complex and time consuming that only a handful of people could use it. The process described could easily take 30-40 minutes each day! That equates to 15 business days a year! Here is my advice on creating effective action lists:

1. Go Weekly: Look at your big annual goals on Monday morning and create a weekly list of roughly 15 major tasks that will help you make significant progress by Friday. Rather than using a 4 letter priority scheme (A, B, C, D) — Argh — simply create two sections for high and low priority items. I find that two sections is plenty.

Since most tasks come via email these days – use the Outlook, Lotus Notes or GMail flag function to save the time needed to transfer low priority tasks to a list. You can sort your inbox to make all flagged items pop to the top – which will help you attack what matters most.

2. Click and Drag Key Email Tasks to Calendar: This is important – for tasks that that must be done by X date – you can left click on an email and drag and drop it into your calendar – Lotus and Outlook will convert it into a calendar item in a flash. Now it will pop up on your smartphone as well as in your calendar when it needs to be done.

3. Focus on 3 Per Day: Each morning, look at your weekly list and pick out 3 key tasks that will allow you to say – I made solid progress towards achieving my big annual goals today. Write them down on a post-it note and stick it to your monitor – focus like a laser on these items that day. Always try to attack tough goals early.
